Privacy Policy
SwiftPress Software Ltd — how we handle personal data in connection with managed WordPress hosting and swiftpress.io. Last updated: 20 March 2026
1. Who we are
SwiftPress Software Ltd (company no. 16689460), 2 Copenhagen Street, Worcester, England, WR1 2HB, United Kingdom, is the data controller for personal data we process when you use our website, sign up for hosting, or interact with us as a prospective or current customer.
If you operate a WordPress site on our platform, you may also process personal data about your visitors or customers. For that data, you are typically the controller and we act as a processor under our Data Processing Agreement when the GDPR (or UK GDPR) applies to that relationship.
2. Data we collect
We may process:
- Account & billing: name, email, company, address, payment metadata (card transactions are handled by our payment providers; we do not store full card numbers on our servers).
- Hosting & technical: IP addresses, server and access logs, security signals, support tickets, and content you upload to your hosted environment (including WordPress databases and files) as needed to operate the service.
- Marketing & communications: preferences, campaign engagement, and correspondence you send us.
- Cookies and similar technologies as described in our Cookie Policy.
3. How we use data (purposes & legal bases)
Under UK GDPR / GDPR where applicable, we rely on appropriate bases such as:
- Contract — to provide hosting, billing, support, and the client area (my.swiftpress.io).
- Legitimate interests — to secure our network, prevent abuse, analyse aggregate usage of our services, and improve our platform, balanced against your rights.
- Legal obligation — to comply with law, tax, and regulatory requests.
- Consent — where required for certain cookies or marketing; you may withdraw consent at any time.
4. Sharing and subprocessors
We use trusted service providers (e.g. payment processing, infrastructure, email, analytics, live chat) who process data on our instructions. They are required to protect data appropriately. A non-exhaustive list may be provided on request or in your order documentation. We may disclose information if required by law or to protect rights and safety.
5. International transfers
Data may be processed in the United Kingdom, the European Economic Area, or other countries where we or our providers operate. Where we transfer personal data outside the UK/EEA, we use appropriate safeguards (such as UK IDTA / EU SCCs or adequacy decisions) where required.
6. Retention
We keep data only as long as needed for the purposes above, including legal, tax, and dispute resolution. Hosting content is retained while your subscription is active and deleted or returned according to our Terms of Service after closure, subject to backups cycling off over time.
7. Your rights
Depending on your location, you may have rights to access, rectify, erase, restrict, or object to processing, and to data portability, and to lodge a complaint with a supervisory authority (in the UK, the ICO). To exercise rights relating to data we hold as controller, contact us via swiftpress.io or your client area. For data on your hosted WordPress site, we may need to route requests through you as site owner where we act only as processor.
8. Security
We implement technical and organisational measures appropriate to the risk, including access controls, encryption in transit where standard for the service, monitoring, and staff training. No method of transmission or storage is 100% secure.
9. Children
Our marketing site and hosting services are aimed at businesses and adults. We do not knowingly collect personal data from children under 13 (or the digital consent age in your jurisdiction) for those services.
10. Changes
We may update this Privacy Policy from time to time. We will post the revised version here and update the "Last updated" date. Material changes may be communicated by email or notice in the client area where appropriate.
11. Contact
